Prioritizing Safety in Event Staffing: Tips for Workers and Employers

  • Erin Helms

Safety is critical in event staffing, whether you’re setting up a stage, managing a crowd, or handling logistics behind the scenes. From proper lifting techniques to clear communication protocols, ensuring safety keeps your event running smoothly and protects both your attendees and your team. When organizing an event—whether it’s a small gathering of 100 attendees or a major concert with tens of thousands of fans—safety must be the top priority long before the doors open. From providing hand sanitizer to managing emergency protocols, every detail matters. Here are five essential safety tips to ensure everyone is on the same page and prepared for a successful event.

Communication is Key

Ensure your team can stay connected during every phase of the event—setup, execution, and wrap-up. Share a contact list with everyone’s phone numbers if using cell phones. If using walkie-talkies or handheld radios, test all devices beforehand to confirm they’re fully charged and functional. Establish a specific channel for communication and provide a quick training session to ensure everyone knows how to use the equipment. Clear, reliable communication is essential for sharing updates, asking for help, and addressing issues quickly to keep the event running smoothly.

Establish a Chain of Command

Before arriving at the venue, make sure everyone knows who to contact for specific issues or questions. Designate team leads and define their responsibilities. Reiterate the chain of command multiple times and provide printed cards with the information for quick reference during emergencies. This structure ensures no time is wasted when a decision needs to be made or an issue arises.

Know the Venue Layout

Familiarity with the venue can prevent confusion and ensure quick responses in case of an emergency. Team leads—and ideally the entire team—should tour the venue in advance. Identify emergency exits, fire extinguishers, bathrooms, and fire alarms. Keep a map of the floor plan handy during the event to manage traffic flow and attendee movement effectively. Confirm that all exits are easily visible and accessible. Understanding the venue helps your team navigate smoothly and ensures attendees feel safe.

Work Safely—Always

Rushing through setup or cutting corners to save time can lead to accidents. Prioritize safety by doing things the right way from the start. Use proper lifting techniques—lift with your knees, not your back—to avoid muscle strain. Clean up spills and remove potential hazards like rags or flammable materials to reduce fire risks. Wear required safety gear, such as helmets, gloves, or goggles, and ensure it’s used correctly. Taking these precautions minimizes risks and ensures your team can focus on creating a successful event without unnecessary setbacks.

Prepare for Emergencies

Having a clear emergency plan in place is crucial for keeping everyone calm and organized during an unexpected situation. Team leads should have a list of emergency contacts for local authorities and first responders. Understand how attendees will exit the venue and identify a designated safe meeting place. Train your team to remain calm and guide attendees in an orderly manner during emergencies. Advanced preparation ensures your team is ready to act quickly and confidently, maintaining a sense of safety and control for everyone involved.
